OVERVIEW:
Under general supervision of the Director, administrative assistant, and other designated supervisors performs legal and secretarial duties in support of a public defender office.
YOUR RESPONSIBILITIES:
(Any one position may not include all of the duties listed, nor do the listed examples include all duties which may be found in positions of this class.)
Prepare legal correspondence, documents and reports at the direction of an attorney, including, but not limited to: entry of counsel, discovery requests, subpoenas, GRAMA requests, HIPPA Release Forms, etc.
Answer telephones and assist individuals entering the office; respond to procedural questions.
Schedule attorney/client use of meeting rooms and conference room.
Contact law enforcement agencies, court personnel, witnesses, attorneys, etc. at the request of attorneys.
Assist in entering data in approved software programs spread sheets etc. and maintaining records of current case status as directed by attorneys and administrative staff.
Monitor office supplies and equipment; maintain inventory as directed by Administrative Assistant.
Organize and assemble court calendars; schedule items on court calendars.
Assist in the preparation of trial exhibits at the direction of an attorney and/or administration staff.
Other duties as assigned.
ABOUT YOU:
Education: Graduation from high school and one (1) year of college level course work or experience in an office setting.
Experience: One (1) year of progressively responsible experience as a legal secretary.
Knowledge: Thorough knowledge of modern office practices and procedures, grammar, spelling and punctuation. A basic working knowledge of legal terminology and procedures, court systems and documents, as well as the ability to advise the public as needed regarding court dates and procedures.
Skills: Skilled in typing at 60 wpm, operating computers, multifunction copy/printers, and applicable software, including, but not limited to MS Word, Excel Spread sheets, PowerPoint, and other specialized word processing and data gathering software. This position may require the driving of a motor vehicle. Ability to fluently speak, read and write in Spanish is preferred.
Abilities: Ability to learn procedures and follow directions. Ability to exercise initiative and sound judgment and to react resourcefully under varying conditions, maintain accurate records and strict confidentiality of information and records, follow written and oral instructions, communicate effectively (orally and in writing), establish and maintain effective working relationships with supervisors, other employees, other agencies, clients and the general public.
YOUR SPECIAL QUALIFICATIONS:
Maintain a valid Utah Driver’s License and a good driving record.
Operate a motor vehicle in a safe manner and in compliance with all Utah laws and regulations as needed.
Due to the nature of this position, the successful candidate may be required to complete a pre-employment background check prior to starting the position.
